1. About this app and this policy

Game Harvester Record is a business application supplied by Triton to game meat processors and their approved harvesters. It is not a consumer app. It is used to record the details of a harvested animal in the field - its identification tag, species, category, time and the position at which it was taken - and to deliver that record to the processor's FUSION system.

This policy explains what the app collects, why, where it goes, where it is stored and how long it is kept.

Who is responsible for your data

The records you create belong to the game meat processor or supply organisation that issued your sign-in credentials. That organisation decides what the records are used for and how long they are kept. It is the organisation responsible for the information, and in data protection terms the data controller.

Triton supplies and maintains the app, and operates the FUSION system that receives your records. Where we handle your data, we do so on that organisation's instructions rather than for our own purposes. If you want to see, correct or delete your records, contact your processor or supply organisation first - see section 8.

2. What the app collects

Read from the device at the moment you save a harvest record, and only while the app is open on screen. So each harvest can be traced back to where the animal was taken, which is a traceability requirement of the game meat supply chain.

Species and category When you select them while entering a record. Classifies the harvest.
Date and time Taken from the device clock when you save a record. Records when the harvest took place.
Your username, which is an email address Entered by you when you sign in, and attached to every record you create. Identifies you to your organisation's FUSION system, and identifies you as the harvester responsible for each record.
Your password and sign-in token Entered by you when you sign in. To authenticate you to your organisation's FUSION system, and to keep you signed in between uses so records can be uploaded without you signing in again.
Diagnostic log Written continuously as you use the app. To diagnose faults. It records the app's own activity - sign-in attempts, upload results, record identifiers and error messages.

What the app does not collect

  • No advertising identifier, and no advertising of any kind.
  • No analytics, usage tracking, behavioural profiling or crash-reporting service.
  • No contacts, calendar, call log, SMS, microphone or health data.
  • No photographs or video. The camera is used only to read a barcode; frames are decoded on the device as they arrive and are never stored or transmitted.
  • No location in the background. The app never reads your position while it is closed or not on screen.

3. Location data in detail

The app requests the Android ACCESS_FINE_LOCATION and ACCESS_COARSE_LOCATION permissions. Before Android's own permission prompt appears, the app shows you a screen explaining what it collects and why, which you must accept or decline.

  • Your position is read only while the app is open and you are saving a record. The app holds no background location permission and runs no background location tracking.
  • The position is stored on the device alongside the tag number, species, category and time of the harvest, and is uploaded to your organisation's FUSION system as part of that record.
  • A harvest record cannot be saved without a position, so declining the permission leaves the app unable to record a harvest. It has no other effect.
  • You can withdraw the permission at any time in Android Settings.

4. Where your data goes

Completed records are uploaded to FUSION, the traceability system Triton operates. Your game meat processor or supply organisation has access to FUSION under an agreement with us, and the records you create are held in their account. The address of the system is configured in the app; unless your organisation has specified otherwise it is triton-fusion.com.

Uploads may happen while the app is in the background, so that records queued without a connection are delivered once one is available. Only records you have already created are sent; nothing new is collected in the background.

We do not sell your data, and we do not share it with advertisers, data brokers or any third party for their own purposes. The only routine transfer is the one described above, to your own organisation's system, and the hosting arrangements described in section 5. Beyond that we disclose data only where we are required to by law.

5. Storage in another country

Your harvest records are stored outside the country in which you created them. The FUSION system your records are uploaded to is hosted in a different country, and your records - including the GPS position of each harvest and the email address you sign in with, which is attached to every record - are held there.

Triton operates that system, on servers rented from a hosting provider. The provider holds the data on our behalf and is contractually barred from accessing it or using it for its own purposes. It is not free to do anything else with your records, and Triton remains responsible for them wherever they are held.

What this means for you

  • The privacy and data protection laws of the country where your records are held may not provide protections comparable to those of the country in which you created them.
  • Information held in another country may be subject to lawful access requests by that country's courts, law enforcement and government agencies, under processes that differ from those where you created the records and that may not give you notice.
  • Storing your records in another country does not change who is answerable to you. Triton remains responsible for the records we hold, and your processor or supply organisation remains responsible for deciding what they are used for and how long they are kept.

6. How long it is kept

  • On your device: a record stays on the device only until the FUSION system confirms it has stored it, at which point the app deletes it. A record that FUSION refuses stays on the device, with the reason, until it is corrected and accepted or you delete it.
  • Android backup is disabled for this app, so queued records and their positions are not copied into any cloud backup of your device.
  • The diagnostic log stays on the device until you clear it from the Log screen. It is not uploaded anywhere automatically. You can export or share a copy yourself; if you send one to us for support, be aware that it contains the email address you sign in with and details of the records you have uploaded.
  • In FUSION: records are kept until your game meat processor or supply organisation deletes them. Nothing expires on its own, and there is no set retention period. How long records are kept is their decision, not Triton's and not this app's.
  • Signing out clears the stored sign-in token from the device. Uninstalling the app removes all of its data from the device, including any records not yet uploaded.

7. Security

  • Your password and sign-in token are held in the Android keystore, the operating system's encrypted credential store, and not in ordinary app files.
  • Records and settings are held in the app's private storage area, which other apps on the device cannot read.
  • Data sent to FUSION is sent over an encrypted HTTPS connection.

If something goes wrong

If a privacy breach occurs that is likely to cause serious harm, it will be notified as required by the privacy law that applies. Triton holds the records, so we will tell your processor or supply organisation without delay. Because they are the organisation responsible for the records, notification to you will normally come from them, with our help.

No transmission or storage method is completely secure, and we cannot guarantee absolute security. If you believe your credentials have been compromised, tell your processor or supply organisation immediately so they can be reset.

8. Your rights, and how to exercise them

Depending on where you live, you may have the right to ask for a copy of the personal information held about you, to have it corrected or deleted, to restrict or object to its use, to withdraw a consent you have given, and to complain to a privacy regulator.

Your game meat processor or supply organisation decides what happens to your records, so please direct any such request to them in the first instance. Triton holds the records on their behalf and cannot act on a request without their instruction. If you approach us directly, we will pass the request to them and support them in answering it.

You can delete a record from your device yourself, before it is uploaded, from the Pending Records screen. Once a record has been accepted by FUSION it can only be changed or removed through your organisation.

If you are not satisfied with how a request or complaint has been handled, you can take it to the privacy regulator or data protection authority for the place where you live.

9. Children

This app is issued to authorised harvesters as a work tool. It is not directed at children and is not intended for use by anyone under 18 years of age. We do not knowingly collect data from anyone under 18.

10. Changes to this policy

We may update this policy when the app's data handling changes, including any change to where your data is stored. The effective date at the top of this page shows when it was last revised, and the current version is always published at this address. Significant changes will be communicated to your processor or supply organisation.
